Why the Scope Is the Part That Matters

Your Business Details
Business name, logo, licence number, ABN or equivalent, phone, email, address, insurance details.
Client and Job Details
Client name, site address, quote number, date issued, and the date the quote is valid until (30 days is standard).
Project Summary
One or two plain-language lines confirming the job, so the client can see you understood exactly what they asked for.
Scope of Works
The heart of the quote. List the work in the order it happens on site, broken into stages or trades, with each line specific about what is done, what is supplied, and to what standard. The number of lines depends on the job: a single trade might need three or four, a new build twenty or more. Detail is what protects you here.
Pricing
Priced by stage or as a total, with the total shown clearly. On larger jobs, price by stage so the client sees what each part costs and so your payment schedule has natural triggers.

Inclusions
Anything included that the client might not assume: labour, waste disposal, certificates, final site clean.
Exclusions
The most important section. Anything not included that the client might assume is: structural repairs found once opened up, relocation of services, asbestos, unknown ground conditions, client-supplied items, and permit, engineering or council fees. State clearly these will be quoted as variations if required.
Payment Terms
Deposit amount (within your legal limit), progress payment stages and their triggers, payment window (7 days is common), and late payment terms.
Terms and Conditions
Your standard reusable terms: variations in writing, validity period, site access, delays, insurance, warranty.
Acceptance
Client name, signature, date, and a simple instruction for how to accept.
The Same Template, Two Different Jobs

A single-trade job (deck build): Supply and construct a new timber deck, approx. 20m2, at the rear of the property. Excavation and footings to engineer's detail, subframe and bearers, decking boards (client-selected, supplied to allowance), balustrade to code, and finishing oil. Excludes work to the existing dwelling, electrical, and landscaping.
A full build (extension), scope by stage: Site establishment and approvals. Demolition and earthworks. Footings and slab. Frame and roof. Lock-up. Rough-in. Linings and waterproofing. Fit-out and fixtures. External works. Final clean and handover.
A deck needs four lines. An extension needs a dozen. The structure holds for both, which is what makes it a construction quote template rather than a template for one type of job.
How to Fill In Each Section

Business and job details. Put your branding and licence number on it. That alone separates you from the builder emailing a bare number. Always include a quote expiry date so an old quote cannot be accepted at last year's prices.
Scope of works. Where quotes are won and lost, on jobs of every size. Write in plain language the client can follow, break it into the order the work happens, and be specific about what people argue over: quantities, standards, and who supplies what. Pricing. Itemising by stage justifies your total and stops the client comparing you on the bottom number alone, because they can see what is included. On bigger jobs it also gives you natural progress payment triggers.
Inclusions. Make your value visible. If waste disposal and a final clean are included, say so, because the client is comparing you to someone who might leave them out.
Exclusions. The single most important section for protecting yourself. The rule never changes: if it is not written down, the client assumed it was in the price. List what you cannot see when quoting and state it will be handled as variations. One honest line prevents a thousand-dollar argument.
Payment terms. Set a deposit within your legal limit, then stage the rest as progress payments tied to real milestones, so you never fund the job out of your own pocket.
Send it as a PDF. Never send an editable file or a spreadsheet. Export to PDF so it looks identical on the client's screen and cannot be altered. It simply looks more finished and professional.
The Catch With Any Free Template
Here is the honest part. A template like this works, but it costs you every time you use it.
You copy it, then reformat it for every job. You paste it into Word or Excel and fight the layout and the pricing table. You retype the same inclusions and exclusions. You rebuild the terms. On a bigger job with a twenty-stage scope, that is a lot of document to wrangle by hand, and the finished thing still looks like a template someone typed up rather than something from a serious business. A static template saves you the blank page, then makes you redo the same work on every quote.
